Reporting and Monitoring

Following is a summary of reporting requirements that apply to all JGA sub-grantees. For assistance or to obtain reporting forms, please contact your JGA grant manager. All sub-grantees are required to attend a JGA orientation and training on JGA funding, monitoring, forms, and grant management policies and procedures. Orientation typically occurs at the beginning of the grant year, though refresher trainings may be offered periodically.

Periodic Reporting Requirements

Programmatic Reporting & Performance Measures

The following reporting requirements apply to all JGA-funded programs:
Programmatic reports are due by the 15th following the end of each quarter and should be submitted through ZoomgrantsTM.

 

Reporting Period Due Date
October 1 – December 31 (quarter 1) January 15
January 1 – March 31 (quarter 2) April 15
April 1 – June 30 (quarter 3) July 15
July 1 – September 30 (quarter 4) October 15
  • Sub-grantees are required to report on performance measures in each quarterly report
  • Quarter-end requests for reimbursements will not be processed without a corresponding programmatic report
  • Sub-grantees should submit an electronic copy to the JGA grant manager
  • Some sub-grantees may also be required to complete Federal or District reporting tools

Request for Reimbursement and Financial Status Reporting

All JGA sub-grants function on a cost-reimbursement basis only. Sub-grantees must submit requests for reimbursement to JGA using approved JGA request for reimbursement forms on a minimum of a quarterly basis. Subgrantees should submit all reports through ZoomgrantsTM.

Recovery Act Reporting

The following reporting requirements apply to all JGA programs supported by JAG Recovery Act grant funds:

  • Reports are due by the 3rd following the end of each month
  • Sub-grantees are required to report payroll information for ARRA-supported positions
  • All sub-grantees are required to submit a Time Card Report form to JGA Grant Manager
  • Non-District Government programs are required to enter Time Card data using the District Government reporting tool <https://reporting.dc.gov> [no longer a working link]

Other Reporting and Monitoring Requirements

Sub-grantee Forum

  • Beginning of the 3rd quarter
  • Contact information and project descriptions for all sub-grantees will be provided
  • Sub-grantees will share the status of project activities
  • Opportunity for sub-grantees to identify common challenges and concerns, receive technical assistance from peers

Site Visits

All sub-grantees will receive, at a minimum, an annual site visit from JGA staff to review their grant file, administrative procedures, record-keeping and program operations. Sub-grantees agree to help arrange and comply with all requirements for this site visit, and to provide JGA with a written response to address any recommendations for improvement identified by JGA from this site visit.

JGA Evaluation/Administrative Compliance

All sub-grantees will be evaluated at the end of the year on the administrative compliance with JGA and Federal administrative (28 CFR Part 70, et. seq) grant requirements. These evaluation ratings can help to inform JGA’s future grant award decisions.

Stakeholder Forum

Sub-grantees may be selected to participate in an end of the year forum sponsored by JGA to identify lessons learned from JGA grants. The sub-grantee may be responsible for, in partnership with JGA, preparing and giving a brief presentation to highlight lessons learned from the use of JGA funds and the policy/programmatic implications of these lessons for District government agencies and community based organizations.
